Job Title: Court Program Specialist II (Probate Case Manager) – Probate Court Division (State Funded)

SALARY: $50,306.04 Annually

Description

The salary is non-negotiable. The successful candidate will be hired at the minimum salary. NEW SALARY: $50,306.04 (annual salary of $48,040.08 plus Competitive Area Differential pay of $188.83 per month).

This is specialized case management work in the Probate Court Case Management Unit of the Eleventh Judicial Circuit. The essential function of the position is to assist the probate judges with the timely disposition of cases through case management and case monitoring. This will be accomplished by following mechanisms such as creation of event deadlines, continuous oversight and measurement of progress. The Probate Court Case Manager is responsible for maintaining and tracking compliance with Florida Statutes, the Florida Probate Rules and local rule requirements governing probate estate and guardianship cases. The position will identify events and trends which impacts the timely progress of the case, prepare reports and other informational documents, and will serve as an information resource.

This position is eligible for a hybrid remote work/onsite schedule after a 90-day period, as outlined by existing Circuit policies and procedures.

Responsibilities

  • Screens cases for compliance with statute, local rules, and administrative orders to assure completeness and readiness for hearing.
  • Assists with management of judicial caseloads, reviews report of open cases to identify stagnant cases or cases needing attention, and flags issues for judicial review.
  • Performs administrative tasks, such as preparing orders, documents, forms, and correspondences.
  • Reviews filings, monitors and manages cases.
  • Monitors case progress and provides data to report efficient case management.
  • Monitors case processing reports to ensure case events comply with statutory/local practice timelines.
  • Reviews new estates and guardianships.
  • Reviews daily Ex Parte files (both estates and guardianships) submitted through CourtMAP to ascertain whether attorneys have complied with local requirements and informs judge of same. Sends files to the judge for signature and/or further instructions.
  • Communicates with judges regarding additional requirements or documents needed to advance the administration of the estate or guardianship.
  • Conducts audits on the invoices submitted by the Examining Committee Members.
  • Utilizes CourtMAP Submission Service and Odyssey.
  • Maintains daily case management statistics regarding volume and types of cases handled.
  • Performs related work as required.

Qualifications

  • Bachelor’s degree from an accredited four year college or university with course work in business, court or public administration, criminal justice, psychology, sociology, pre-law or related fields required.
  • Three (3) years of related professional experience. Experience in the court of assignment preferred.
    • Master’s Degree may substitute for one year of required experience.
    • Juris Doctor degree may substitute for two-years of required experience.
    • Paralegal Certificate preferred.

Knowledge, Skills and Abilities (KSAs):

  • Knowledge of modern office practices and procedures.
  • Ability to communicate effectively orally and in writing.
  • Ability to understand and follow oral and written instructions.
  • Ability to make work decisions in accordance with laws, regulations, and departmental policies and procedures.
  • Ability to accurately maintain a variety of complex records.
  • Ability to establish and maintain effective working relationships with the judiciary, court personnel, and other private and public agency staff.
  • Ability to work with minimal supervision and recognize and establish work priorities.
  • Ability to handle sensitive matters with integrity and confidentiality.
  • Ability to operate standard office equipment including personal computers and word processing and data entry applications for case management.
  • Ability to work effectively with the public and handle individuals who are under stress with courtesy, tact, and patience.

Working Conditions/Physical Demands/Licenses Certifications

Licenses Certifications:

  • Juris Doctor (JD) degree or Paralegal Certificate preferred.

Working Conditions:

  • Moderate noise; business office setting.

Physical Demands:

  • Work involves a significant amount of standing, walking, sitting, typing, talking, listening, stooping, and reaching with hands and arms. Must be able to transfer up to 10 pounds.
